Artificial Intelligence (AI) Usage Policy

Purpose

This policy sets out the principles for the use of Artificial Intelligence (AI) by students when completing online pre-course work for nationally recognised training delivered by HMC Group Solutions Pty Ltd on behalf of Industry Skills Solutions (RTO 45974). Its aim is to protect authentic learning and the integrity and validity of assessment, consistent with the Standards for Registered Training Organisations 2025 (in particular the Principles of Assessment and the Rules of Evidence — validity and authenticity).


Scope

This policy applies to all students and prospective students, and to the trainers, assessors and staff involved in the administration, delivery and assessment of online pre-course work. It covers all courses, modules and programs that include an online pre-course component, regardless of subject or level. Third parties involved in delivering or assessing online content must also observe this policy where relevant.


Policy statement

HMC Group Solutions promotes genuine effort and authentic learning. Online pre-course work exists to build the foundational knowledge a student needs to demonstrate competency at assessment. This policy explains how AI may and may not be used in that context so that assessment remains valid and each student's outcome reflects their own competency.


Status of online pre-course work

Online pre-course work is preparatory (formative) learning. It does not, by itself, determine competency. The competency decision is made on the supervised summative assessment described below. Pre-course work is intended to prepare students for that assessment, not to replace it.


Use of Artificial Intelligence

a) Students may use AI tools as a study aid — for example, to explain a concept or check their understanding.

b) Students must not submit AI-generated content as their own work, or rely on AI to complete pre-course tasks in place of their own learning.

c) The reason for this is straightforward: using AI to produce answers bypasses the foundational knowledge the pre-course work is designed to build, leaving a student under-prepared for the supervised assessment. Technology can support learning, but it must not replace the student's own understanding.


Authenticity and fairness

a) Where there is reason to believe that submitted work is not a student's own, HMC Group Solutions (or the RTO) may ask the student to clarify or to demonstrate their understanding — for example, verbally, or by completing the task again under supervision.

b) Any such concern will be handled fairly and in accordance with the RTO's Complaints and Appeals Policy, and the student will be given an opportunity to respond before any decision is made.

c) The supervised summative assessment is the primary means of confirming that a student's demonstrated competency is genuinely their own. AI-detection tools, where used, are treated only as an aid to professional judgement and are never the sole basis for a decision, because they are not reliable enough to be relied on alone.


Supervised summative theory assessment

a) To maintain the integrity and validity of our training, all students are required to complete a summative theory assessment under supervision at an approved venue (an HMC/RTO campus, an on-site delivery location, or another approved supervised setting).

b) This assessment is part of our quality-assurance and assessment process for all training programs.

c) Completing online pre-course work does not exempt a student from this requirement.


Assessment outcomes

a) A student who does not satisfactorily complete the supervised summative theory assessment will be marked "Not Yet Competent" (NYC).

b) This determination is made on the assessment evidence, independent of any online pre-course submissions.

c) A student marked NYC will be given feedback on the areas for improvement and offered re-assessment and any additional training or support appropriate to their needs. Students retain the right to seek review of an assessment decision through the RTO's Complaints and Appeals Policy.


Student support and reasonable adjustment

Students who need help to complete pre-course work or the supervised assessment — including language, literacy and numeracy (LLN) support or reasonable adjustment for a disability or other need — should contact HMC Group Solutions before or during their course. Reasonable adjustments are made in line with the RTO's assessment obligations, provided the integrity of the competency being assessed is maintained.


Related policies and standards

This policy operates consistently with, and does not override, the Industry Skills Solutions (RTO 45974) Assessment Policy, Academic Integrity / Student Misconduct Policy, Complaints and Appeals Policy, and Reasonable Adjustment / LLN arrangements, and with the Standards for Registered Training Organisations 2025. Where any inconsistency arises for nationally recognised training, the RTO's policies prevail.
